5. Organizational Structure of QAU

The QAU is structured internally by: 
a) the Quality Assurance Committee and 
b) the Quality Assurance Service.

The Quality Assurance Committee is established by decision of the Senate and its term of office is five years. The Quality Assurance Committee consists of:
a) the Rector or the competent Vice-Rector of the Aristotle University of Thessaloniki, as President
b) five (5) members of the Teaching and Research Staff of the Aristotle University of Thessaloniki at the rank of Professor or Associate Professor
c) one (1) representative from each category of members of the Laboratory Teaching Staff (EDIP), Special Educational Staff (EEP) and Special Technical Laboratory Staff (EEP) of the Aristotle University of Thessaloniki,
d) one (1) representative of the undergraduate students of the Aristotle University of Thessaloniki,
e) one (1) representative of postgraduate students and doctoral candidates of the Aristotle University of Thessaloniki, and
f) one (1) representative from the Visiting Professors, Lecturers, Visiting Researchers and Contract Researchers employed at the Aristotle University of Thessaloniki.

The Secretariat of QAU, which supports the mission and work of QAU, operates informally and its establishment into a Quality Assurance Service is imminent, in accordance with Law 4957/2022. The Secretariat is governed by the applicable legislation and adheres to all administrative procedures implemented at the Aristotle University of Thessaloniki. The responsibilities of the Quality Assurance Service are recorded in the relevant regulation (which is published in the Government Gazette).

Description of Secretariat Jobs and Responsibilities

Responsible

  • The planning and coordination of the works, the assignment of the tasks to the staff, the responsibility for its proper and efficient operation and the timely and valid processing of its works 
  • The Department's communication with other public services and Organizations 
  • Communication and cooperation with corresponding services in Universities in Greece and abroad
  • The preparation of the annual programming and the coordination of the preparation of the plan for its implementation
  • The provision for the information of the President of QAU on all operational issues
  • Ensuring the implementation of the decisions of the Foundation's QAU
  • The control of the work of the staff
  • The evaluation of the problems, needs and the way it operates and the formulation of relevant proposals to the President of QAU
  • Goal setting and evaluation of staff
  • Prioritization, monitoring of the implementation and operation of the Information System of QAU
  • Planning participation in international institutions, conferences or seminarsSupporting the organization, operation and certification of the
  • Internal Quality Assurance System and the implementation of its procedures
  • Support and coordination of the evaluation and certification procedures of the study programs, academic units and other services of the institution.
  • Coordination of the submission of an Annual Achievement Report

Responsible for quality processes

  • Support of the evaluation and certification procedures of the study programs, academic units and other services of the institution.
  • Monitoring and Disclosure (Foundation's website) of the evaluation procedures and results
  • Identifying and promoting the Foundation's best practices in all areas.
  • Representation, promotion and promotion (workshops / conferences)

Responsible for coordinating quality data

  • OPESP Data Registration and Unit/User Support
  • Supporting the internal and external evaluation and accreditation processes of the academic units and the Institution 
  • Collection, classification and analysis of statistical data on students, all kinds of personnel, financial figures, equipment, research programs of the University
  • Systematic collection, classification and analysis of the data collected from all the activities of the Foundation and in cooperation with the relevant services.
  • Compilation and updating of statistical data.
  • Systematic collection, classification, analysis and recording of data for international rating bodies
  • Generate necessary reports on all topics
  • Support for the submission of an Annual Achievement Report

Responsible for the implementation of the IQAS

  • Supporting the organization, operation and certification of the Internal Quality Assurance System and the implementation of its procedures
  • Supporting the internal and external evaluation and accreditation processes of the academic units and the Institution
  • Evaluation of existing quality assurance services and procedures for the implementation of quality strategy and quality objectives  
  • Comparative studies on best practices in the organization of universities, models of organization and staffing of services, model analyses, etc.
  • Supporting the policy, strategy and quality objectives of the Foundation's work and services
  • Support for the submission of an Annual Achievement Report

Responsible for Quality Management

  • Coordination and monitoring of technical team 
  • Control of the implementation of QMS management actions
  • Cooperation with other units of the Foundation for the interconnection or exploitation of the QMS
  • Processing and analysis of QMS data
  • Provision of QMS data to other units, services and organisations

Responsible for Technical Support

  • Technical support (online, telephone and on-site) of QMS users
  • Manage QMS users
  • Drafting and updating of QMS documents and user guides
  • Technical documentation and verification of the QMS code 
  • Check Central Database Items
  • Registration and processing of data in the QMS

Responsible for the management of the DBP

  • QMS Management
  • Database Management
  • Interoperability of the QMS with other information systems inside and outside the Institution in cooperation with and under the coordination of the Digital Governance Unit (DGU)

Responsible for the business intelligence system

  • Business Intelligence System Management
  • Generate reports in the Business Intelligence System
  • Export data through the Business Intelligence System
  • Support for the submission of an Annual Achievement Report
  • Support in the collection, classification, analysis and registration of data for international assessment bodies
