Internal Quality Assurance System

In accordance with the call of the HAEAE (21/09/2023) for the submission of proposals for the certification of the Internal Quality Assurance Systems (EDPs) of HEIs and ASEIs, the proposal dossier must include the following:

E1. Proposal for the Certification of the Institution's EDP, according to the "Model for the Drafting of the EDPB Certification Proposal".

E1.1. Strategic Planning of the Foundation (including the quality assurance strategy).\E1.2. Quality policy of the Foundation in connection with the strategy.

E1.3. Institution Quality Target Setting (SMART), as an implementation of the strategy and policy, according to the model.

E2.1. Annual planning and allocation of funding for all available sources for the next four years, or program agreement of the Foundation, if drawn up.

E2.2. Internal rules for the allocation and internal allocation of financial and human resources to the academic units and central services of the Institution.

E2.3. Internal evaluation of resources based on the respective indicators of OPESP and the performance indicators of the Foundation, by MODIP.

E2.4. Presentation of the information systems for the management and monitoring of the financial and human resources of the Foundation.

E6.1. Results of the process of evaluating the functionality and content, as well as the maintenance and updating of the Foundation's website.

E6.2. List of links to the Foundation's website and the MODIP, and of the special web personalized applications.

E7.1. 5-year Progress Report on the response to the recommendations of the latest Certification Report of the EDP.

Undergraduate Programme of Studies

According to the invitation of the HQA (20/11/2019), the dossier for the certification of an Undergraduate Studies Program must include the following:

B0. Table of Contents of a folder.

B1. Proposal for Academic Certification of the Foundation's MSc (See here the template/form of the proposal).

B2. Quality Policy (the Quality Policy Statement of Section 1 of Proposal B1).

B3. Study Guide (with ECTS credits and expected learning outcomes).

B4. Regulations and other regulations (e.g. mobility, traineeships, etc.).

B5. Course outlines (according to the model of the HQA) for all courses (in a single file .pdf with Table of Contents, organized by semester of study).

B6. Quality Goals of the Curriculum.

B7. Sample student questionnaires and their processing results (with statistical results of all questionnaires per question and presentation of the main conclusions that arise).

B8. Results of the internal evaluation of the MSP by the MODIP (practical MODIP with a status of findings and possible proposed preventive/corrective actions).

B9. Data reports from the Integrated National Quality Information System (OPESP) for academic institutions. years 2015-2016, 2016-2017, 2017-2018 and the dates. years 2016, 2017, 2018 (export of reference to .pdf file by OPESP). For proposals submitted after 31 March 2020, data for the academic year 2018-19 and calendar year 2019 are also required.

B10. Other documentation material (e.g. graduate absorption studies, research performance, etc.) marked B10.1, B10.2, B10.3, etc.

B11. Additional terms (concerns Masters that award a single and undivided postgraduate degree in accordance with article 46 of Law 4485/2017).

Notes:

The Academic Certification Proposal (B1) is proposed to be checked grammatically and syntactically before its submission. The text of requirement 1 quality assurance policy contained in the report should be posted in its entirety on the Department's website. At the end of the proposal, it is recommended to add a list of annexes.

The Quality Policy (B2), in addition to the principles that govern it, should also include a brief reference to its implementation and the intended results.

The Study Guide (B3) should relate to the current academic year and include the ECTS and the expected learning outcomes of the MSc. The learning outcomes should describe the set of competences and skills of the graduates;

Regulation (B4) should contain regulations regulating study topics (e.g. registration, ranking, course registration, certificates, obtaining a degree, scholarships, etc.) and not general information that may be included in a study guide (e.g. history and physiognomy of the Department, list of names and contact details of faculty members, useful information about services provided to students, etc.).

 B5, B7, B8 and B9 will be prepared by MODIP.

The Course Outlines (B5) must be complete, i.e. the Course Description Sheet (M1) must have been completed for all courses on the MODIP website.

In the Quality Target (B6) the strategic objectives as well as the quality objectives should be numbered or coded to facilitate reference to them. The quality objectives should be specific and not repeated. The 'baseline' and the 'target value' should show a unique value (absolute number or percentage) without explanation. The wording of the actions should describe the planned actions and not be a repetition the quality objective. The timetable for the implementation of the objectives should be annual and determined by month and year.

In the results of the evaluation (B7) it is necessary to clarify the processing method used to extract the results, to explain the symbols that appear in the statistical tables and to add a description to the diagrams that are presented. It is also recommended to provide a brief commentary on the main conclusions drawn from the processing of the data.

The results of the internal evaluation (B8) are the Minutes of the internal evaluation of the MPC by the Modip (which will include the status of findings and possible proposed corrective/preventive actions).

As other documentation material (B10), the academic statistics, the list of publications and the list of research projects from the information system of MODIP, the certificate of pedagogical competence (if any), the guide for the writing of diploma theses, the committees of the Department, etc. could be added.

Undergraduate Programmes of Studies - Reaccreditation

According to the call of the HAEAE (15/03/2024) for the submission of proposals for Academic Certification of the Undergraduate Study Programs - 2nd cycle of certification of the Undergraduate Studies Program (recertification), the proposal file must include the following:

P1 Proposal for Academic Certification of the Undergraduate Studies Program, according to the "Model for the Preparation of the Proposal for Academic Certification of the Program of Undergraduate Studies - Feb. 2024».

P1.1 An updated strategic plan of the Foundation including the quality strategy.

P1.2 Four-year Operational Plan of the Programme.

P1.3 Updated Quality Policy of the MSP.

P1.4 Quality Objectives of the academic unit for the MSc, according to the model.

P1.5 Code of Ethics and Good Practice (Law 4957/2022, article 217).

P2.1 Study Guide for the current academic year (with the total number of ECTS credits of the program and the expected learning outcomes of the program).

P2.2 Course and diploma thesis outlines (according to the model of the HAEAE) for all courses of the Curriculum, in a single .pdf file with page numbering. The file must include a Table of Contents of the courses per semester of study, with a page number of each outline

P2.3 Correspondence with external bodies to provide an opinion on the design and structure of the Programme.

P3.1 Evaluation by students: Sample of a fully completed course/teacher evaluation questionnaire by the students. Results of the statistical processing of all questionnaires per question for two academic semesters. Commenting on the results and suggestions for addressing weaknesses.

P3.2 Regulation for the management of student complaints and objections.

P3.3 Regulation of the Institution of Academic Advisor.

P4.1 Internal Rules of Procedure of the Programme.

P4.2 Regulations for studies, internships, mobility, assignments.

P4.3 Agreements or cooperation protocols with other Institutions in cases where the Framework is provided with the participation of other Institutions, or is provided as a joint cooperation program.

P4.4 Model Diploma Supplement in Greek and English.

P4.5 Table with the minimum admission basis, through entrance examinations, for the last 6 years.

P5.1 Summary report of the performance of the teaching staff in scientific-research and teaching work, based on internationally recognized evaluation systems for scientists (e.g. Google Scholar, Scopus, etc.).

P5.2 Teaching staff: nominal list of subjects and subjects taught, employment relationship, assignment of teaching and other teaching obligations in hours.

P5.3 Policy for the support, development and evaluation of the staff of the Programme.

P6.1 Detailed description of the infrastructures and services available to the Academic Unit for the Academic Unit for the Curriculum regarding the support of learning and academic activity (human resources, infrastructure, services, etc.) and information to students on the services provided.

P6.2 Staffing of student support services (administrative staff and ways to develop their skills).

P6.3 Report on the assessment of the adequacy of the human and material resources of the MSP by the Modip.

P7.1 Reports of quality data and indicators from the Integrated National Quality Information System (OPESP) for the last academic year (Integrated National Quality Information System (OPES) section.

P7.2 Operation of an information system for the collection of administrative data for the implementation of the Curriculum (student register), as well as other tools and procedures designed for the collection and analysis of the data of the academic and administrative operation of the academic unit and the Curriculum.

P7.3 Evaluation of the five-year OPESP data (OPIP section) by the MODIP and formulation of improvement proposals.

P8.1 Means and channels of communication used for the publication of the information and the promotion of the MSP.

P8.2 List of special online personalized applications for students.

Postgraduate Programme of Studies - Existing

According to the HAEAE Call (24/10/2023) for the submission of proposals for Academic Certification of Postgraduate Study Programs, the Proposal dossier includes the files M0 - M10.1.

Subsequently, Models and Standards are available for the majority of the required Annexes of the new Certification Standard of the existing MSc Programs. Please read carefully the grey box of the Guidelines for each of them, for your convenience in their management by the Department and the MSc.

The "MSc Certification File Checklist": is proposed to be used for your monitoring of the completeness of the contents of Proposal M1 and the overall contents of the dossier, in accordance with the requirements of the HAEAE Invitation and the Model. Based on this file, MODIP will also check the content of the proposal and your folder.
